[02:13] And thank you.
[02:17] asked that we mutually agreed to terminate the contract due to, he has multiple accounts.
[02:25] He's really, really busy.
[02:27] He just feels that it'd be best if we go out.
[02:34] Because he's been having a hard time catching that.
[02:37] We've had tons of properties. He's a one-man show.
[02:40] He's worked by himself.
[02:42] And he feels that he, he, he, he, his contract is indeed for another year,
[02:48] but he feels that it earlier is a better.
[02:51] So we can, it's going to put us a little behind, but in longer and I believe,
[02:56] it's going to help us out so we can go out.
[03:00] bid as soon as basically emergency the bid. We don't have to give them the 30 days that
[03:07] is contract initially states that we got to give them 30 days to when we terminate the
[03:13] contract. So now we can just immediately go out once this is a proven. He has signed the
[03:19] termination mutual termination agreement. He's signed it last time.
[03:23] So once we terminate it, it's factory immediately. That's what you're saying. Yes, it once
[03:27] it's terminate. We can go out tomorrow. We can instantly.
[03:31] It's not only can we go out tomorrow. We will be going. Yeah, we will. We will. We won't
[03:35] go out tomorrow. Since it's under 25,000 or under 50,000, we don't have to go out for
[03:39] formal bid. We just got to give them yet three. Three quotes. Right now, a lot of our
[03:43] crews, we've had people from part cemetery and all that, trying to help out very much. It
[03:49] is a cost of over time in some cases. We also do know that there are some other people in the
[03:54] community that would really like to be interested in having a bid. So if we can get out
[03:59] of those contract quickly, get some other people in place, we can start hitting some of the
[04:04] high weeds that you see when you drive around town. So there's our nerdy as an interest in.
[04:08] Yeah, we have probably three or four people that are interested in town and a few out of town.
[04:16] Like I said, we have cemetery parks, some of the right way guys, the directors have been
[04:24] gracious enough to lend them to us and help us on the so-called downtime if they have.
[04:31] You know, I'm glad I'm going to go through Friday. We'll be at the LBF good for it. So I take
[04:35] out the high weeds along a street along a good rich bulldozer. Yeah, they, they, if you go by the
[04:42] east side isn't finished because it was really wet and they were getting stuck. So they, it was
[04:48] taking them more time than it's sort of so they just kind of stopped into what it would go
[04:52] to dry out and pick it up in this Friday. So I would definitely like to get into the contract
[04:56] on the word, but this is the best way to do that. Okay. And if I'm correct, this is just for the
[05:02] appointment because I believe hogbing also still does our cemetery. Just for the payments. Yes.
[05:07] And how many of you feel were behind? How many locations are you? I would say, I would say
[05:18] 30 or 40. I mean, there's, I got several of the payment work orders today. So they're just,
[05:24] we just got to get this going on. And again, I call him in and he, we both agreed. You know, he said
[05:32] about what I want to hold you guys up, but I just got too much going on, like I said, he's one man
[05:37] job. So he just feels like he, uh, needs to let it go and keep us from being held up.
[05:46] It's falling farther behind. Yeah. But I got to respect because, you know, the contract initially
[05:55] said, we have to give him 30 days, but he agreed.
[06:00] termination is possible.
[06:03] Yep.
[06:04] Yep.
[06:06] Yeah, motion to occur.
[06:08] Make a motion that we accept the mutual termination agreement
[06:11] with Hopping's Laws Service for the Baitment Work.
[06:14] Second.
[06:15] Lewis.
[06:17] Aye.
[06:18] Forster.
[06:19] Aye.
[06:20] Judson.
[06:21] Aye.
[06:22] Thank you.
[06:24] I don't need a discussion.
[06:25] Go through climate closure research and recommendation.
[06:28] Jill.
[06:29] I think Jill just maybe just a very quick summary
[06:33] for those that might be tweeting in.
[06:35] We just took a tour of our new customer service area in the reasoning for this.
[06:39] And we do recognize that this is a decision that you may be getting some calls about,
[06:44] but it really is something that we believe is going to be making us a more efficient operation
[06:49] and also providing better customer service.
[06:53] So let's start with a drive through itself.
[06:56] The only business that can be conducted in the drive through is a payment.
[06:59] If our customer needs to do anything else to their account,
[07:02] change a name, close the account, anything else we ask them to come in.
[07:06] So the only thing that we do is take payments in our drive through.
[07:10] We actually closed the drive through for the remodel May 25th.
[07:14] Prior to that, about a week prior,
[07:16] the council did approve a contract with Welch State Bank to begin taking payments through their drive
[07:22] through and at their office facilities.
[07:25] Prior to that, we started distributing surveys out to each customer.
[07:29] And we would tell them what we're getting ready to do with the remodel and that,
[07:32] and the survey actually says, we're looking at possibly permanently closing the drive through.
[07:37] If you have any input, please give it to us.
[07:39] We received 16 of those surveys back.
[07:43] Each time we added a bank onto that, we would change the survey to add that they could go pay it,
[07:48] those banks.
[07:49] So the surveys changed a little bit.
[07:51] But we always asked in the same thing just for input on closing the drive through.
[07:55] We got 16 back.
[07:57] We also had, I had an email exchange with a co-worker here at the city.
[08:01] And once he realized that we are giving other drive through options, he understood.
[08:07] We also had a little bit of a Facebook exchange.
[08:11] So one of the things that was a concern was the due dates.
[08:15] We don't treat anybody if they pay at the bank or they pay at our facility.
[08:20] We don't treat them any differently in regards to due dates.
[08:23] By ordinance, your due date is printed on your bill and you have to pay that day or before.
[08:29] So if your bill is due on the second and you come into the bank or to our facility on the second,
[08:35] you don't get any penalties.
[08:37] If you come into either one of those on the third, you will get a penalty.
[08:41] So we don't treat anybody differently.
[08:43] That was something we wanted to make sure and get across to the public.
[08:47] I personally heard it because our customer service area was literally right across in a small hallway right across from my office.
[08:55] And I got to hear them actually talk to the people and hand out the surveys and I often heard
[09:00] people once they realize they had other options, well,
[09:02] and security and first national to go through their drive
[09:05] through something else to point out, there's two other
[09:08] things credit card payments. Those banks will take credit
[09:11] cards for payment. Here at the city face to face, we cannot do
[09:15] that. Our credit card fees would be very high and we can't
[09:19] forward right now to do it. We look at it every couple of
[09:22] years for sure to see because we really want to be able to
[09:25] do that. It's just very expensive and credit card fees. The
[09:29] other thing is we had prior to the remodel, we had one
[09:32] office, here at the Civic Center, and we had one drive
[09:34] through. Now with the banks included, we have eight offices
[09:39] including the Civic Center and six drive throughs, which is just
[09:42] the three banks, but they have multiple lengths. So they're
[09:46] going to get service faster. They do need to bring their
[09:49] bill in. It will be stamped and they'll get to keep a half,
[09:51] keep half and the bank keeps half. If they only bring a portion of
[09:55] their bill in, the bank will keep that portion and give them a
[09:58] receipt for their payment. We are going to expand the services in
[10:04] that department. We're bringing other public services to that
[10:07] department and we wouldn't do a lot of detail during the tour. So if
[10:11] you guys have any questions, I'd love to answer them.
[10:13] I'm not a curiosity if I know sometimes banks have more holidays
[10:18] and probably the city does. What if there's a due date? I mean, it's on
[10:23] Monday. What happens if they're like? If they're not open,
[10:30] you need the banks aren't open and we are open, then they'll need to bring it
[10:34] here. If their due date is that Monday, they'll need to make sure we get it.
[10:36] We have two drop boxes that could drive through and drop it in the drop box
[10:40] and they would not get a penalty if it got in that day,
[10:42] and then or they could come in. But there's always a drive through option at
[10:47] least through a drop box with us.
[10:49] Yeah, I'll pay also. Yes. Yes. Automate pay through your bank.
[10:59] Yeah. Yeah. Do they need to come in here to set that up or can they do that at the bank?
[11:05] They need to come in here. Any other business besides making a payment needs to happen here.
[11:09] Okay. Yeah. I usually use the drive through, but is it back open? No.
[11:18] We wanted to talk with you about a get through plan on opening and we don't plan on opening.
[11:22] Yeah.
[11:27] It's all right.
[11:28] Okay.
[11:29] Well, that's just a discussion item.
[11:31] I think if you're ultimately, that's the city manager and deans and staff's decision,
[11:38] I would certainly support it. We just wanted to make you aware of it
[11:42] and make you aware of what we've tried to do. It's not just a uniform decision
[11:46] to close that we've tried to bump up the services that we're making to everybody else.
[11:50] And it also ties into what we're trying to do with a broader customer service area where we're
[11:54] more efficient with our personnel.
[11:56] Why do you need to be aware of that?
[11:58] There we go.
[12:00] Thank you, Jim. Thanks.
[12:05] I don't have a way of knowing the business being, isn't it?
[12:07] Not on this, okay?
[12:09] Stafford ports.
[12:11] I can tell you.
[12:13] By guy quasi per style.
[12:15] Come on.
[12:17] Trust me, you can need announcements.
[12:22] Nothing.
[12:23] A gentleman.
[12:25] You.
[12:26] Looks like you're in.
[12:28] I'll second.
[12:29] No, sorry.
[12:31] Listen.
[12:36] Aye.
[12:37] Forster.
[12:38] Aye.
[12:39] Lewis.
[12:40] Aye.
